Records Division

The Records Division is responsible for maintaining case report files, traffic tickets, statistical data, processing correspondence, sex offender registry, collecting/recording data required for Uniform Crime Reports (UCR) and the National Incident Bases Reporting System (NIBRS).

Schedule of Fees:

Extensive Research Fees $100.00 Deposit (Will be applied towards research fee, copy fee and balance will be refunded.)
Research Fee Varies depending on time expended and wage of researcher
Copy of Reports $1.25 per page
Copy of CD and Tapes (audio & video) $5.00 ea (when applicable)
Letter of Clearance / Local Background Check $5.00 per name
Explosive Permit Clearance $25.00
Sex Offender Registry $20.00


To Request a Copy:

To request a copy of a report the applicant must submit a signed Request For Records form and return it with a photo copy of the applicant’s license or identification card.

Payment must be received in advance of releasing the requested records.

Under some circumstances copies of case reports cannot be released and the applicant may be referred to the District Attorney’s Office to file a motion for discovery or to the Courts for the Disposition or Conviction.

Obtaining Copies of Sheriff’s Office Reports:

This may include criminal reports, mug photos and traffic reports.

If the applicant faxes the request we will call the applicant when we know if the report is releasable and how much it will cost. The applicant is then required to mail the payment, come in to make the payment, or may phone in and charge the applicant’s Visa / Debit card for payment.

If the applicant mails the request form and does not mail payment with the form we will return the request to the applicant with an explanation of why it is being returned. If the applicant is mailing the request and needs to know how much the report will cost please call us prior to mailing the request and we will determine the cost so the applicant can include payment with the request.

If the applicant comes to our office we will attempt to process the request while the applicant waits. If it a complicated request, a request that will take time to process and/or if the report is stored off-site, we may require 72 hours permitted by statue to process the request and will also require the Extensive Research Fee.

Local Background Check/Clearance Check:

This will include only Garfield County Sheriff’s records, each municipality (city) is responsible for their own records. See Fee Schedule for cost.

Arrest Photos:

If the applicant wishes to purchase an arrest photo (mug shot) of a person over the age of 18, there is a $1.25 per photo fee. We cannot release arrest photos of juveniles unless that person has been charged as an adult. If this is the case, the applicant will need to provide documentation from the Courts indicating such action.

Explosive Permits:

Once we receive the application and fee, we will process it and call the applicant upon completion.
